Page Revisions: Web Team Instructions

When a staffer wants to edit a page but the existing draft (the “Latest version”) contains updates they want to discard, we have to help them create a new draft from the published version of the page.

If the staffer does not need to preserve the changes between the “Latest version” (the draft) and the “Current version” (the published page), we can simply delete any revisions above the “Current revision” on the node's “Revision” tab.

If the changes do need to be preserved for later use:

  1. Go to the node's “Revision” tab.
  2. Make a note of the timestamps of both the “Current revision” and the latest version (the top row).
  3. Edit the page and save the “Latest version” as “Published.”
  4. As quickly as possible, go back to the “Revision” tab and use the “Revert” command on the revision with the timestamp for the “Current revision” noted in step #2—it should be the second row with a revision marked as “Published”—that version will be republished.
  5. To re-set the draft to the version with the changes that needed to be preserved, go to the “Revision” tab and use the “Revert” command on the revision with the timestamp for what was the latest version when you noted it in step #2—that will make a new draft version of the page with whatever moderation state (“Draft” or “Needs Review”) that it had earlier. You can also direct the staffer to take that action when they're ready to go back to those updates at a later date.
