Chapter 3: Publicity

Publicity for a conference can be a basic factor in determining whether the conference is successful. The promotion of a conference sets the tone for what the experience will be like for everyone. Good publicity sets the foundation for a well-run, well-organized conference. It clearly defines the purpose of the event, and gets people psyched and moving toward conference community, before the gathering.

Most of the publicity person's job occurs before the conference begins. After goals and timetables are set by the conference planning committee, it is the publicity person's job to follow through. With adequate planning and execution, the publicity person should be free to handle minor glitches during the conference itself.

The publicity person works closely with the registrar. He/She must check in with the registrar, to make sure the correct logistical information goes onto the initial flyer.

The first bulk mailing to attendees will include the conference flyer. The publicity person is also responsible for sending out any additional pre-conference information or material. Again, the publicity person works closely with the registrar, sending materials out as people sign up.
