The Job of the District Chair
The Annual Program Fund (APF) Committee is one of the Association's most important committees. The Annual Program Fund makes up a significant portion of UUA undesignated income. These funds are vital in providing services to our member congregations. Contact by volunteers in the district is the most effective way to encourage congregations to support their Association. This section contains suggestions and information to help you be an effective District Chair.
Expectations
District Chairs have a great deal of latitude in how they approach their work, but some tasks are essential:
- Communications you receive from the APF Director must be read carefully and
the District Report reviewed. Most communications will come via the APF
Committee email list (apfcmt-l).
- It is essential that Projections be submitted by the deadline as designated
by the APF Director.
- The Push campaign must be conducted in May and June.
- APF chairs are expected to develop congregational contacts to assist them in
carrying out their responsibilities.
- You will also be expected to attend the yearly Committee meeting in March
and you may be asked to attend one additional strategy and training meeting, as
needed. These additional meetings are usually for one day in the fall.
- You will be asked to complete the Annual Program Fund District Annual Report in the fall. The report summarizes APF district activity for the previous fiscal year.
Record Keeping
Develop a convenient method of record keeping and keep a complete set of records—both for your own use and to pass on to your successor. In addition to the information from the APF office, keep a record of your face-to-face, telephone, mail and email contacts with congregations. One District Chair suggests building a knowledge base. He keeps binders on resources available and on individual congregations. The congregational binders contain fiscal year and budget dates, when they change officers, record of contacts made, the most recent newsletter and any notes from past newsletters.
